Data Deletion Instructions - FIA Now Mobile Application

Overview

This document explains how users of the FIA Now mobile application can request deletion of their personal data in compliance with privacy regulations including GDPR, CCPA, and other applicable data protection laws.

User Rights

Under applicable data protection laws, you have the right to:

  • Request deletion of your personal data
  • Receive confirmation of data deletion
  • Understand what data is retained and why
  • Appeal deletion decisions if requests are denied

What Data Can Be Deleted

The following personal data can be deleted upon request:

Account Data

  • Name and contact information
  • Email address
  • Job title and company information
  • FIA membership details

App Usage Data

  • Browsing history within the app
  • Search queries
  • Document download history
  • Bookmarked items
  • Notification preferences
  • App settings and preferences

Device Data

  • Device identifiers
  • App usage analytics
  • Crash reports
  • Performance data

What Data Cannot Be Deleted

Certain data must be retained for legal, security, or operational reasons:

Legal Requirements

  • Transaction records (required by law for 7 years)
  • Records related to disputes or legal proceedings
  • Data required for tax and accounting purposes
  • Regulatory compliance documentation

Security and Fraud Prevention

  • Records of Terms of Service violations
  • Security incident logs
  • Fraud prevention data

Business Records

  • Aggregate anonymized statistics
  • De-identified research data
  • Audit logs (retained for 2 years)

How to Request Data Deletion

Method 1: In-App Request (Coming Soon)

  1. Open FIA Now app
  2. Go to Profile → Settings
  3. Select "Privacy & Data"
  4. Tap "Request Data Deletion"
  5. Confirm your request
  6. You'll receive confirmation via email

Method 2: Email Request

Send an email to: info@foodindustry.asia

Subject: Data Deletion Request - FIA Now

Include:

  • Your full name
  • Email address registered with FIA
  • FIA membership number (if known)
  • Clear statement: "I request deletion of my personal data from FIA Now"
  • Reason for deletion (optional)

I request deletion of my personal data associated with my FIA Now account.

Method 3: Written Request

Mail to: Food Industry Asia

Method 4: Through FIA Member Portal

  1. Log into FIA member portal at https://foodindustry.asia
  2. Navigate to Account Settings
  3. Select "Data Privacy"
  4. Click "Request Mobile App Data Deletion"
  5. Follow the prompts

Verification Process

To protect your privacy and security, we must verify your identity before processing deletion requests:

Identity Verification

We may require:

  • Email verification (confirmation link sent to registered email)
  • Security questions
  • Membership verification
  • Government-issued ID (in rare cases for complex requests)

Verification Timeline

  • Email verification: Instant to 24 hours
  • Additional verification: 2-5 business days
  • Complex cases: Up to 10 business days

Data Deletion Timeline

Acknowledgment

  • You'll receive an acknowledgment within 48 hours of request submission

Processing Time

  • Standard requests: Processed within 30 days
  • Complex requests: May take up to 60 days (we'll notify you if extension needed)
  • EEA/UK requests: Processed within 30 days per GDPR requirements
  • California requests: Processed within 45 days per CCPA requirements

Deletion Steps

  1. Immediate Actions (within 24 hours of request)

    • Account suspended from active use
    • Access to app disabled
    • Push notifications stopped
  2. Primary Deletion (within 30 days)

    • Personal identifiable information removed
    • Account credentials deleted
    • User-generated content removed
    • Device data deleted
    • Analytics data anonymized
  3. Backup Deletion (within 90 days)

    • Data removed from backup systems
    • Cache and temporary files cleared
    • Third-party service providers notified
  4. Retention (ongoing)

    • Legal retention data archived
    • Anonymized data retained for statistics

Confirmation

You will receive confirmation when deletion is complete:

Confirmation Email Will Include:

  • Confirmation that deletion has been completed
  • List of data categories deleted
  • Information about any retained data and reasons
  • Date of completion
  • Reference number for your records

What Happens After Deletion

Immediately:

  • You cannot log into the app
  • Your account credentials are invalid
  • Push notifications stop
  • Bookmarks and preferences are lost
  • Downloaded documents on device remain (you must delete manually)

Within 30 Days:

  • Personal data removed from active systems
  • Account no longer appears in member lists
  • Usage history deleted

Within 90 Days:

  • Data removed from backups
  • All traces deleted (except legally required retention)

Partial Deletion Options

If you don't want to delete everything, you can request:

Selective Deletion

  • Delete specific data categories
  • Remove browsing history only
  • Clear downloaded documents list
  • Reset app preferences
  • Remove device data

Account Suspension

  • Temporarily suspend account without deletion
  • Can be reactivated later
  • Data preserved for reactivation

To Request Partial Deletion:

Email info@foodindustry.asia with subject "Partial Data Deletion Request" and specify what you want deleted.

Impact of Data Deletion

You Will Lose Access To:

  • FIA Now mobile app
  • Personalized content and recommendations
  • Saved preferences and settings
  • Bookmarked documents and articles
  • Consultation reminders
  • Meeting notifications
  • Document download history

You Will Retain:

  • FIA membership (unless separately cancelled)
  • Access to FIA website
  • Event registration history
  • Committee membership (unless separately resigned)

Cannot Be Reversed:

Data deletion is permanent. Once completed:

  • Cannot be undone
  • Cannot recover deleted data
  • Must create new account to use app again

Special Circumstances

Deceased User's Data

Family members or legal representatives may request deletion of deceased user's data by:

  • Providing death certificate
  • Proof of legal authority
  • Written request

Legal Holds

Deletion requests cannot be processed if:

  • Data is subject to legal hold
  • Investigation or litigation is ongoing
  • Regulatory audit is in progress

You'll be notified if your request is delayed for these reasons.

Minors' Data

If you believe we have data on someone under 18:

  • Contact info@foodindustry.asia immediately
  • Provide details of the account
  • We will investigate and delete promptly

Appeals Process

If your deletion request is denied or you're unsatisfied with the response:

Step 1: Internal Appeal

  • Email: info@foodindustry.asia
  • Subject: "Data Deletion Appeal"
  • Include original request reference number
  • Explain your concerns

Step 2: Privacy Officer Review

  • Request escalation to Privacy Officer
  • Additional review conducted
  • Response within 15 business days

Step 3: Supervisory Authority

  • EEA residents: Contact local Data Protection Authority
  • California residents: California Privacy Protection Agency
  • Singapore residents: Personal Data Protection Commission

Q: How long does deletion take?

A: Most requests are completed within 30 days. Complex cases may take up to 60 days.

Q: Can I reactivate my account after deletion?

A: No. Data deletion is permanent. You must create a new account.

Q: Will my FIA membership be cancelled?

A: No. Only your mobile app data is deleted. Your membership remains active unless you separately cancel it.

Q: What happens to documents I downloaded?

A: Documents stored on your device remain there. You must manually delete them from your device.

Q: Can I delete only some of my data?

A: Yes. You can request partial deletion. Email info@foodindustry.asia with your specific request.

Q: Will deletion affect other FIA services?

A: No. Only FIA Now app data is affected. Your website access and other services remain unaffected.

Q: What if I'm not sure about deleting everything?

A: Consider account suspension instead. Email info@foodindustry.asia to discuss options.

Q: How do I know deletion is complete?

A: You'll receive a confirmation email with a reference number and completion date.

Third-Party Service Providers

Data shared with our service providers will also be deleted:

  • Firebase/Google Cloud (hosting and analytics)
  • Firebase Authentication (login)
  • Firebase Cloud Messaging (push notifications)
  • Cloud storage providers

Their Deletion Timelines:

  • Active systems: 30 days
  • Backup systems: 90 days
  • Log files: Per their retention policies
